Position Details and Responsibilities:
1. Secretaries/Administrative Representatives
As a Secretary/Administrative Representative, you will play a crucial role in ensuring the smooth and efficient operation of our hospital’s administrative functions. Your responsibilities will include:
- Administrative Support:
- Providing comprehensive administrative support to various departments.
- Managing schedules, appointments, and meetings for department heads and staff.
- Preparing and handling correspondence, reports, and documents.
- Office Management:
- Organizing and maintaining files, records, and databases.
- Ensuring the office environment is clean, organized, and well-stocked with necessary supplies.
- Coordinating with other departments to ensure seamless communication and workflow.
- Customer Service:
- Greeting and assisting visitors, patients, and staff with inquiries and directions.
- Handling phone calls, emails, and other communications professionally and promptly.
- Addressing and resolving any administrative issues or concerns that arise.
- Compliance and Confidentiality:
- Ensuring all administrative tasks comply with hospital policies and procedures.
- Maintaining strict confidentiality of patient and hospital information.
2. Security Guards
As a Security Guard, you will be responsible for maintaining a safe and secure environment for patients, visitors, and staff. Your duties will include:
- Security Monitoring:
- Patrolling hospital premises to prevent and detect signs of intrusion and ensure the security of doors, windows, and gates.
- Monitoring and authorizing entrance and departure of employees, visitors, and other persons.
- Emergency Response:
- Responding to alarms and investigating disturbances.
- Providing assistance in emergency situations, including medical emergencies and evacuations.
- Safety Protocols:
- Enforcing hospital policies and procedures to maintain order and safety.
- Conducting regular security checks and reporting any suspicious activities or security breaches.
- Customer Service:
- Assisting patients, visitors, and staff with directions and information.
- Ensuring a friendly and helpful presence at all times.
3. Customer Service Representatives
As a Customer Service Representative, you will be the first point of contact for patients and visitors, providing excellent customer service and ensuring a positive experience. Your responsibilities will include:
- Patient Assistance:
- Greeting and assisting patients, visitors, and staff in a courteous and professional manner.
- Providing information about hospital services, procedures, and policies.
- Communication:
- Answering phone calls and emails, addressing inquiries and directing them to the appropriate departments.
- Handling patient complaints and resolving issues in a timely and efficient manner.
- Scheduling and Coordination:

Qualifications and Requirements:

- Education:

- Experience:

- Strong administrative skills and proficiency in office software (e.g., Microsoft Office) for Secretaries/Administrative Representatives.
- Security Guards should have prior experience in security or law enforcement.
- Customer Service Representatives should have a background in customer service, preferably in a healthcare setting.
- Skills:

- Strong organizational and multitasking abilities.
- Attention to detail and accuracy.
- Ability to handle sensitive information with confidentiality and professionalism.
- Proficiency in English is required; knowledge of Arabic is a plus.
- Other Requirements:
- Must be able to work flexible hours, including evenings, weekends, and holidays as needed.
- Ability to handle physically demanding tasks and remain on your feet for extended periods (for Security Guards).
